Privacy Policy

This Privacy Policy describes how Vertali Group ("we," "us," or "our"), a subsidiary of Platform Entertainment Group™, collects, uses, stores, and protects your personal data when you use the Vertali Time Off platform ("the Platform"). We are committed to handling your data responsibly and only for the administration of your earned time off.

What We Collect & Why

01Data We Collect

When you sign in and use the Platform, we collect and process the following data:

  • Identity data — your The Haus by Vertali user ID, username, and display name.
  • Contact data — your email address, provided by The Haus by Vertali at sign-in, used where we need to reach you about your account or the benefit.
  • Profile data — your avatar image, retrieved from The Haus by Vertali.
  • Authentication data — OAuth access and refresh tokens used solely to verify your identity and keep you signed in.
  • Balance data — the number of days you have earned and any administrative adjustments.
  • Booking data — the dates you book off, any notes you attach, and their status and timestamps.
  • Audit data — a record of administrative and system actions taken in relation to your account, including the IP address the action originated from, for security and accountability.

02How We Use Your Data

Your data is used solely for the administration of the time-off benefit, including verifying your eligibility, calculating and displaying your balance, processing and managing your bookings, keeping you authenticated, and maintaining an audit trail for security purposes. We do not use your data for advertising or automated decision-making that produces legal effects.

03Legal Basis for Processing

Where applicable data protection law (such as the GDPR for creators in the European Economic Area or the United Kingdom) requires a legal basis, we rely on the performance of our contractual arrangement with you as a Vertali creator, our legitimate interests in administering the benefit securely, and, where relevant, your consent, which you provide by signing in and using the Platform.

How We Protect It

04Data Storage & Security

Your data is stored securely on Vertali Group infrastructure. We apply appropriate technical and organisational safeguards, including prepared-statement database access, output escaping, single-use CSRF tokens, encrypted session cookies with periodic identifier regeneration, and strict security headers, to protect your data against unauthorised access, alteration, disclosure, or destruction.

05Data Retention

We retain your booking and audit data for as long as your creator agreement remains active and for a reasonable period thereafter for legitimate business, accounting, and audit purposes. Cached avatar images are refreshed every 24 hours and removed when no longer needed. OAuth tokens are retained only while valid and refreshed automatically; we do not retain them beyond the life of your session. When data is no longer required, it is permanently and securely deleted.

06Data Sharing

We do not sell, rent, or trade your personal data. Your data is not shared with any third party except: (a) within Vertali Group and Platform Entertainment Group™ on a strict need-to-know basis for benefit administration; (b) with The Haus by Vertali (The Haus) for authentication; and (c) where required by law, regulation, or valid legal process.

07Your Booking Data Is Private

The details of the days you book off, including any notes you attach, are stored privately and are visible only to you and to authorised Vertali Group administrators. Other creators cannot see your bookings.

Your Rights & Choices

08Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or request deletion of your personal data, to object to or restrict certain processing, and to request a copy of your data in a portable format. Creators in the EEA and United Kingdom have these rights under the GDPR. To exercise any of these rights, contact Vertali Group using the details below. Note that some data must be retained where we have a legal obligation or legitimate business need to do so.

09Cookies & Local Storage

The Platform uses a strictly necessary session cookie to keep you signed in securely. It is marked HttpOnly, Secure, and SameSite, and is used solely to maintain your authenticated session. We do not use tracking, advertising, or analytics cookies of any kind, and we do not respond to browser "Do Not Track" signals because we do not engage in any cross-site tracking.

10Automated Decision-Making

The Platform applies booking rules (balance limits, your designated day off, adjacent-day restrictions, same-day cutoffs, and duplicate checks) automatically and enforces them at the point of submission. Booking approvals are confirmed automatically by the system, typically within 25 to 60 minutes, and are reviewed by administrators where required. These automated checks do not produce legal or similarly significant effects beyond the administration of the time-off benefit itself. You may contact us to contest any automated decision.

11Business Transfers

If Vertali Group or its parent, Platform Entertainment Group™, is involved in a merger, acquisition, or sale of all or a portion of its assets, your personal data may be transferred as part of that transaction. We will notify you via a direct message on The Haus by Vertali if your data becomes subject to a materially different privacy policy as a result.

Scope & Contact

12International Data Transfers

The Platform is operated from the State of Florida, United States of America. If you access the Platform from outside the United States, your data will be transferred to and processed in the United States. By using the Platform, you acknowledge this transfer. Where required, we implement appropriate safeguards for such transfers.

13Children's Privacy

The Platform is restricted to individuals who are at least eighteen (18) years of age, or the age of legal majority in their jurisdiction. We do not knowingly collect data from anyone below this age.

14Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The "last updated" date at the top of this page indicates when it was most recently revised. Continued use of the Platform after any change constitutes acceptance of the revised policy.
